CIK Privacy Policy

CIK has committed to protect the privacy of your personal information. We are taking all reasonable steps to ensure that information is stored safe and secure, and fully comply with Canadian privacy laws and regulations. This Privacy Policy is established in accordance with Personal Information Protection and Electronic Documents Act (PIPEDA) 10 principles.

1. Accountability

CIK is responsible for personal information under our control. A Senior Manager and the Quality Control (QC) department are accountable for compliance with following the privacy principles. QC department is monitoring the daily operation including collection, use, and disclosure of customers’ personal information.

2. Identifying Purposes

In order to provide CIK product and service to you, we need to collect and use your personal information to help manage business operations for the following purpose:

  • Delivering the products and services you purchased from us, as well as billing and processing payment for these purchases.
  • Understanding your preferences and providing customized recommendations about products and services by CIK, our agents, dealers or trusted third parties that may interest you.
  • Offering tailored service to meet your needs.
  • Performance analytics, administering surveys, or requesting feedback to improve our relationship with you.
  • Ensuring the functionality and integrity of CIK network.
  • Confirming your identity, maintaining accurate and up-to-date information on the account.
  • Complying with legal obligations and regulatory requirements.

In addition, we will also collect information from third-party credit agencies or other CIK’ companies and affiliates for purpose such as:

  • Managing credit and business risks;
  • Delivery products or services you ordered;
  • Collecting an outstanding debt;
  • Detecting, preventing and investigating fraud or other unauthorized or illegal activities.

We may also use your account and personal information to evaluate your eligibility for other CIK’ products and services, and to assist other CIK companies or affiliates, to assess your eligibility for their products or services.

From time to time, we may collect personal information about you for other purposes, as permitted or required by law. We will identify those additional purpose prior to or at the time of collection.

3. Consent

When signing up for or use a CIK product and service, by default you have provided your consent to the collection, use, or disclosure of your account and personal information. Consent my be implied or express, through written, oral, electronic or any other method.

Implied consent will be used when personal information is less sensitive, such as address information to check service availability.

Explicit consent through oral, written, electronic or other method will be used when CIK collects sensitive information.

However, if you choose to withhold or withdraw such consent, please note we may not be able to continue providing you with certain products and services.

We may sometimes also collect, use, or disclose personal information without your knowledge or consent where it is required or permitted by law.

4. Limiting Collection

CIK limits the personal information we collect to what is reasonable and necessary for the purposes identified. For example, we may use your information in the following ways:

  • To contact you in order to provide technical support or update to your billing or notices.
  • To offer you products and services from other CIK companies or trusted parties that we think you may find attractive.
  • To provide geo-location services that will send you offers and promotions from carefully chosen third parties based on your current and historical personal location information.
  • To allow other CIK companies, to directly provide you offers about their products and services.

5. Limiting Use, Disclosure, and Retention

CIK shall not use or disclose personal information for purposes other than those for which it was collected, except with the consent of the individual or as required by law. CIK will retain your personal or account information for as long as necessary to fulfill the purpose for which it was collected or for sufficient time to allow you access to the information if it was used to make a decision about you or your account. Information that is no longer required by us will be destroyed or deidentified.

Account and personal information collected are only stored or processed within our private network isolated from public network in Canada.

To delete or control how your person information is being used, your need to contact Jack Don in our Customer Relation Department, note we may not be able to continue providing you with certain products and services after the change.

6. Accuracy

CIK ensures the personal information used shall be sufficiently accurate, complete and up-to-date. You may check it on your account or ask to review the information we have about you at any time. You can challenge its accuracy and completeness and request amendments, as appropriate, by contacting our Customer Relation Department.

7. Safeguards

CIK has strict security processes and procedures to protect personal information against theft, loss or unauthorized access.

CIK has a strong IT Support team working with the in-house Development team together utilizing all different kinds of software/hardware firewall and systems to ensure all personal information is in our possession and control. We only use our private network and do not use any public cloud to store any customer information and we also do not subcontract to any third party to store our customer information. If in case we may use a third party then we ensure that there is a comparable level of protection for information that is processed for us by third parties.

8. Openness

CIK Privacy Policy is available online at www.ciktel.com/privacy. We have appointed a senior manager in Customer Relations who can be contacted if you have any questions, concerns or complaints about how we collect, use, or disclose your personal information.

9. Individual Access

You can review and access your personal information by logging in to your online account. Upon request, CIK can also provide and let customer review the personal information on the account after sufficient identification information is given.

10. Challenging Compliance

CIK shall investigate all complaints concerning compliance with the Privacy Policy. If a complaint is found to be justified, CIK will take appropriate measures to resolve the complaint.
